Who operates the service

Shreemangal operates this website and Clinic Reception, an appointment and reception operations service. In this policy, “Shreemangal,” “we,” “us,” and “our” refer to Shreemangal.

Information we process

Depending on how the service is used, we may process patient or customer names and phone numbers; WhatsApp messages and message metadata; appointment dates, times, and booking status; clinic, doctor, service, schedule, and availability information; staff account information; authentication and session information; operational and security logs; and WhatsApp Business Account and phone-number identifiers required for the integration.

Appointment and reception scope

Clinic Reception is designed for appointment and reception operations. It is not intended to function as an electronic medical record system or to store diagnoses, prescriptions, clinical notes, treatment histories, or similar clinical records.

Users and patients should avoid sending unnecessary sensitive medical or health information through the service. If such information is voluntarily included in a message, it may be processed as part of that communication.

WhatsApp and Meta Platform Data

Clinic Reception integrates with the WhatsApp Business Platform provided by Meta. WhatsApp-related information may be processed to:

• receive patient messages and route them to the correct clinic;
• send clinic replies and approved appointment messages or reminders;
• track delivery, read, and failure status where Meta provides it;
• maintain the clinic’s WhatsApp connection;
• prevent duplicate or unauthorized processing; and
• troubleshoot the messaging service.

Meta may independently process information under its own policies, terms, and agreements. Shreemangal does not control Meta’s independent processing.

How information is used

We may use information to:

• provide Clinic Reception and create or manage appointments;
• provide WhatsApp communication;
• authenticate users and enforce clinic or staff permissions;
• maintain security, detect abuse, and troubleshoot problems;
• maintain service reliability;
• comply with applicable law; and
• respond to privacy and data requests.

No sale of personal information

We do not sell personal information to advertisers.

Data security

We use reasonable safeguards appropriate to the service. These may include HTTPS, authenticated access, role and permission controls, restricted infrastructure access, encryption of sensitive WhatsApp integration credentials at rest, server-side handling of provider credentials, audit and security logging where appropriate, WhatsApp webhook authenticity and signature checks, and tenant or clinic isolation controls.

No method of transmission or storage is completely secure, but we use reasonable safeguards appropriate to the service.

Data retention

We retain information only for as long as reasonably necessary to provide the service, maintain security and reliability, resolve disputes, meet legitimate business requirements, and comply with applicable legal obligations. Different categories of information may have different retention periods.

Data sharing and service providers

Information may be shared as necessary with the clinic using the service; authorized clinic personnel; Meta and the WhatsApp Business Platform; hosting, infrastructure, security, and operational providers; and professional advisers or authorities where legally required. We limit sharing to what is reasonably necessary for the relevant purpose.

Clinic responsibility

Clinics using Clinic Reception may have their own privacy obligations and policies. Patients should also review the privacy information provided by the clinic they are communicating with.

Cookies and website analytics

The Shreemangal website may use cookies or similar technologies for essential website operation, traffic analysis, and website optimization. Where applicable, the website provides a cookie notice or choice. You can also control cookies through your browser. No analytics provider is identified because this may depend on the website’s current deployment configuration.

Privacy rights

Depending on applicable law, you may have rights to request access, correction, deletion, or restriction of certain processing. We may need to verify your identity or authority before acting on a request.

Children and minors

Clinic Reception is a business tool used by clinics and is not directed to children for independent use. Where a clinic handles an appointment for a minor, the clinic is responsible for obtaining any consent required by applicable law.
